This privacy notice discloses the privacy practices for hamiltohikersclub.org. This privacy notice applies solely to information collected by this website. It will notify you of the following:

  1. What personally identifiable information is collected from you through the website, how it is used and with whom it may be shared.
  2. What choices are available to you regarding the use of your data.
  3. The security procedures in place to protect the misuse of your information.
  4. How you can correct any inaccuracies in the information.

This website has two kinds of users: public users, and members of the Club itself. Where this policy differs for members of the Club, that section will be designated as such.

Information Collection, Use, and Sharing
We are the sole owners of the information collected on this site. We only have access to/collect information that you voluntarily give us via email, forms on the website, or direct contact with you via any other form of communcation. We will not sell or rent this information to anyone, ever.

We will use your information to respond to you, regarding the reason you contacted us. We will not share your information with any third party outside of our organization, other than as necessary to fulfill your request, e.g. to get an answer from someone we cannot answer ourselves.

We will not contact you via email or other contact information once your inital request has been completed by either your or us.

Members, we may contact you via email, postal address, phone or TXT regarding Club issues, your reservation, dues paid or overdue. At a minimum, your name, email, phone, and mailing address is required information to become and member and use this website.

Your Access to and Control Over Information
Members, you can do the following at any time by logging into your account on our website:

  • See what data we have about you, if any.
  • Change/correct any data we have about you.
  • Have us delete any data we have about you (this will close your account and membership).
  • Express any concern you have about our use of your data.

Registration
Members, in order to use certain portions of this website, your must first complete the the Club process for becoming a member and either an electronic or paper registration form. During registration a user is required to give certain information (such as name, phone and email address). This information is used to contact you about the services on our site in which you will have an interest and access to. At your option, you may also provide demographic information (such as gender or age) about yourself, but it is not required.

Sharing

Members, we partner with another party to provide credit card processing and website analytics. When a member uses these services, we will share names, or other contact information that is necessary for the third party to provide these services. These parties are not allowed to use personally identifiable information except for the purpose of providing these services.

Cookies
We use "cookies" on this site. A cookie is a piece of data stored on a site visitor's hard drive to help us improve your access to our site and identify repeat visitors to our site. For instance, when we use a cookie to identify you, you would not have to log in a password more than once, thereby saving time while on our site. Cookies can also enable us to track and target the interests of our users to enhance the experience on our site. Usage of a cookie is in no way linked to any personally identifiable information on our site.

Surveys & Contests
Members, from time-to-time our site requests information via surveys or polls. Participation in these surveys or polls is completely voluntary and you may choose whether or not to participate and therefore disclose this information. However, some polls may be used to take electronic votes from Club members. Id you do not participate, at the time of the poll when used for voting purposes, you will nullify your for that poll unless assigned to a proxy. Information requested for surveys or polls may include contact information (such as name and email address), and demographic information (such as zip code, age level).

Security
We take precautions to protect your information. When you submit sensitive information via the website, your information is protected both online and offline.

Wherever we collect sensitive information (such as personal data), that information is encrypted and transmitted to us in a secure way. You can verify this by looking for a lock icon in the address bar and looking for "https" at the beginning of the address of the Web page.

Members, wherever we collect payment information (such as credit card data), that information is encrypted and transmitted to a seperate server and service provided by our card processor, Stripe, and is never saved or read by our website or our server. You can verify this by looking for a lock icon in the address bar and looking for "https" at the beginning of the address of the Web page. Stripe's Privacy Policy can be viewed here.

While we use encryption to protect sensitive information transmitted online, we also protect your information offline. Only employees who need the information to perform a specific job (for example, billing or customer service) are granted access to personally identifiable information. The computers/servers in which we store personally identifiable information are kept in a secure environment.

If you feel that we are not abiding by this privacy policy, you should contact us immediately via the telephone or email address listed on our Contact page.

To ensure a smooth transition between the two sites, verify that your Account & Profile is correct:

  1. Check your User Details for accuracy.
    • Optionally, upload a selfie!
  2. Check your Contact Info.
    • Optionally, enter a mobile number rather than a land line for TXT reminders and notifications.
  3. Ensure your Membership Family Name is entered correctly.
    • Just you? Enter your name (ie. "Jane Doe").
    • Sharing the membership with a spouse? (ie. "Jane & John Doe")
    • Spouses/Family members must ensure this form field matches in each account.
  4. Add "[email protected]" to your "Safe Sender" or "Not Spam" filters.
    • Emails from this address may end up in your SPAM folder, so please mark otherwise.
    • Email is the primary mode of communication from this site, and from Club officers.

Also, check out the new Forum, for posting issues, maintenance or other need requests, ideas, or other topics relating to the cabin. There is no information there, though more will be added soon.

You will soon be able to pay dues via Credit Card on this site, as well as see a transaction history of past dues paid, from 2018 forward.

The Reservation Calendar is the primary way to schedule users and reservations at the cabin. However, it is your responsibility to make sure your reservation information is correct. Saving a reservation does not guarantee that someone else may have a reservation, or arrive at the cabin during your reservation.
